Project Coordinator

Our client is the leading service provider of Managed Equipment Services (MES) for the NHS and private health sector in the UK. They are currently looking for a Project Coordinator to provide support across the commercial and business development team and wider teams within the organisation.
The ideal candidate would need to have excellent written and oral communication skills, along with technical troubleshooting, code debugging, problem solving, and database management experience. It would be an advantage if candidates hold a PRINCE2 and have experience in a healthcare bid environment or healthcare technology & services industry.
Purpose of the Role
- Achieving goals and objectives and ensuring our records and customer relationship management system is maintained and up to date
- Ensures seamless support across the commercial and business development team and wider teams within the organisation
- Provides support to the commercial and business development team ensuring requests from internal and external customers and partners are dealt with in a timely manner.
- To be a sponsor and trainer of our Microsoft Dynamics 365 Sales Customer Relationship Management (CMS) system and to ensure maintenance of record keeping of opportunities across sales, commercial, technical, operational staff stakeholders
Task list
- To be the central point of contact for information, through the management of shared mailboxes within the business development team, sharing communications to the team as required to support bids, opportunities and contract variations
- Ensure all Business Development opportunities are identified and escalated for consideration and are entered into the CRM system
- To support business development team operational activities including coordination of meetings, preparation of agendas, take minutes and chase actions
- System administration of the Customer Relationship Management (CRM) system
- To support the Sales Operations Manager in the tracking of all business development activities including, but not limited to new business procurement website communications, business development Opportunity Update and Review updates, CRM updates/reports
- Facilitating the development and execution of robust strategies for all OJEU procurement bids, Framework mini-competition quotes, and pre-tender sales proposals to support the UK Business
- Sales databases/CRM systems administration to ensure data is maintained, and staff using the system are trained and supported
- Lead regular meetings with the sales and commercial teams as required to provide training and support on the system, as well as providing 1:1 support
- Develop and maintain user guide documentation in line with business requirements and provide regular communications to the team and internal stakeholders
- Support the other internal departments with use of the CRM system and ensure that data exchange in the sales to ops hand over of successfully closed opportunities is effective and complete
- Ensure all records of contracts, contacts, customers, opportunities and bid, quote and sales proposals in the CRM system adhere to editing and formatting standards and ensure sign-off processes are followed in accordance with quality management system and Marketing guidelines
- Support the Marketing team with content creation and copy editing to contribute to the production of content to the internal intranet, website & social media channels
- Assist Business Development and Marketing projects as required to meet objectives and support the strategic objectives of the team
- To support the production and delivery of content for documentation to be used by all modality areas
- Assisting with development of the CRM system and any related system upgrades, related customisations, and reports as required
- To support Project Managers/Bid Managers in the development of for all OJEU procurement bids/quotes, framework mini-competition quotes, and pre-tender sales proposals as well as live contract variations and extensions/renewals
- To co-ordinate team and project meetings as required by the Sales Operations Manager and wider commercial team
Resources /Decision Making Authority
- Responsible for CRM system data, to ensure it is maintained and provision of support and training the wider team as required
- To ensure quality system processes and procedures are followed.
